Configure default values for invoices and quotes

Setting Up Invoice Defaults
Save time by configuring default values that appear on all new invoices

To configure invoice defaults:

  1. Navigate to Settings from the sidebar
  2. Scroll to the "Invoice Settings" section
  3. Update the default values you want to use
  4. Click "Save Changes" to apply the defaults

Tip

Defaults are applied to new invoices only. Existing invoices remain unchanged.

Invoice Numbering
Automatic numbering with custom prefixes

Prefix

Add a custom prefix to invoice numbers (e.g., "INV-", "2024-"). Leave empty for numbers only.

Next Invoice Number

Set the starting number for your next invoice. Numbers auto-increment from here.

Example:

Prefix: "INV-2024-" | Next Number: 1001 → Result: INV-2024-1001

Payment Terms
Set default due dates and payment periods

Default Due Date

Choose how many days after invoice date payment is due:

  • Net 7 - Payment due in 7 days
  • Net 14 - Payment due in 14 days
  • Net 30 - Payment due in 30 days (most common)
  • Net 60 - Payment due in 60 days
  • Due on Receipt - Payment due immediately
Currency & Tax Settings
Default currency and tax configuration

Default Currency

Select the currency for new invoices. Supports USD, EUR, GBP, and more.

Tax Rate

Set a default tax rate (e.g., 10% GST). Can be overridden per invoice.

Default Notes & Terms
Standard text that appears on all invoices

Invoice Notes

Add default notes that appear at the bottom of invoices. Common uses:

  • Thank you messages
  • Payment instructions
  • Return policy
  • Support contact information

Terms & Conditions

Add default terms that appear on invoices:

  • Payment terms and late fees
  • Warranty information
  • Dispute resolution process
  • Legal disclaimers
Quote Defaults
Configure defaults for quotes separately from invoices

Quote defaults work the same way as invoice defaults:

  • Custom prefix (e.g., "QT-" or "QUOTE-")
  • Auto-increment numbering
  • Default validity period (e.g., 30 days)
  • Standard terms and notes
